Legal terms governing our translation services

1. Introduction

These Terms & Conditions ("Terms") govern your use of the translation and related services provided by Lingo Service Translations ("we", "us", "our", "Lingo Service"). By placing an order or using our services, you agree to be bound by these Terms.

These Terms are governed by the laws of England and Wales. If you do not agree to these Terms, please do not use our services.

2. Definitions

  • "Client" means the person or entity placing an order for our services
  • "Services" means translation, certification, localisation, and related language services
  • "Document" means any file, text, or material submitted for translation
  • "Translation" means the translated version of your document delivered by us
  • "Order" means a request for services placed through our website or other means

3. Services Provided

We provide professional translation and language services including:

  • Certified and non-certified document translation
  • Notarised and apostilled translations
  • Website and software localisation
  • Interpreting services
  • Multilingual desktop publishing
  • Additional language services as agreed

4. Quotations and Orders

4.1 Quotations

All quotations are valid for 30 days from the date of issue, unless stated otherwise. Quotations are estimates based on the information provided and may be subject to change if:

  • The scope of work changes
  • Additional documents or requirements are added
  • Exchange rates fluctuate significantly (for non-UK clients)

4.2 Placing Orders

By placing an order, you confirm that:

  • You have the right to use and share the material for translation
  • All information supplied is accurate and genuine
  • You have provided complete and legible source documents
  • You understand and accept these Terms

4.3 Order Acceptance

We reserve the right to refuse or cancel any order at our discretion, including orders for documents that are illegal, offensive, or violate third-party rights. In such cases, we will refund any payment made.

5. Pricing and Payment

5.1 Pricing

Our pricing is based on:

  • Word count or page count of source documents
  • Language pair and complexity
  • Urgency requirements
  • Additional services (certification, notarisation, apostille)

All prices are in British Pounds (GBP) unless otherwise stated. VAT at 20% applies where applicable and is clearly shown on all invoices.

5.2 Payment Terms

Full payment is required before delivery of translations, unless you have an approved corporate account or framework agreement with alternative payment terms.

We accept payment by:

  • Debit and credit cards (Visa, Mastercard, American Express)
  • PayPal
  • Bank transfer (for corporate accounts)

6. Delivery and Turnaround Times

6.1 Standard Delivery

Standard delivery times are:

  • 1-2 page documents: 24-48 hours
  • Larger documents: Confirmed upon review

6.2 Urgent Services

Urgent services are available:

  • 24-hour service: +50% of base rate
  • 12-hour express service: +80% of base rate

Urgent services are subject to availability and may not be available for very large or complex documents.

6.3 Delivery Method

Translations are delivered via email as certified PDF files. Hard copies with courier delivery are available for an additional fee. Delivery times are calculated from the time payment is received and confirmed.

7. Certified Translations

Our certified translations include:

  • A signed and dated declaration confirming the translation is true and accurate
  • Official company letterhead with contact details
  • A unique reference number

Important: Our certification confirms that the translation is a true and accurate rendering of the source document you provided. It does NOT verify the authenticity, validity, or legal status of the original document.

We provide free reissues if an authority requests specific wording changes or format adjustments. We also offer free corrections for genuine translation errors.

8. Client Responsibilities

You are responsible for:

  • Document Authenticity: Providing genuine, unaltered documents. We are not responsible for rejection due to falsified or unverified source documents
  • Information Accuracy: Supplying correct spellings, dates, names, and reference numbers. Errors in source information may affect the translation
  • Authority Requirements: Confirming what the receiving authority requires before ordering. We can advise, but you are responsible for meeting destination requirements
  • Legal Compliance: Ensuring you have the right to translate the material and that its use is lawful

9. Revisions and Complaints

9.1 Quality Guarantee

We guarantee professional translation quality. If you identify a genuine translation error, we will correct it free of charge with no time limit.

9.2 Revision Requests

Revision requests must be made in writing to info@lingoservice.com. We will review and correct:

  • Genuine translation errors
  • Formatting issues
  • Certification wording changes requested by authorities

9.3 Complaints Procedure

If you have a complaint:

  1. Contact us at info@lingoservice.com with details of your concern
  2. Our senior team will review your complaint within 5 working days
  3. We will propose a resolution or correction
  4. If unresolved, we can escalate to mediation or alternative dispute resolution

10. Confidentiality

We are committed to maintaining strict confidentiality of all documents and information you provide. We comply with UK GDPR and the Data Protection Act 2018. All translators and staff sign confidentiality agreements.

We will not:

  • Share your documents or information with unauthorised third parties
  • Use your documents for any purpose other than completing your translation
  • Use your content for AI model training or machine learning

For corporate clients requiring additional confidentiality measures, we can sign NDAs (Non-Disclosure Agreements) before work begins. Contact info@lingoservice.com to arrange.

11. Limitation of Liability

11.1 Our Commitment

We take every reasonable care to ensure accuracy and timely delivery. However, our total liability is limited to the amount you paid for the translation service.

11.2 Exclusions

We are not liable for:

  • Errors resulting from illegible, incomplete, or ambiguous source text
  • Rejection due to falsified, unverified, or invalid source documents
  • Consequences of using translations beyond the agreed scope
  • Indirect, consequential, or special damages
  • Lost profits, opportunities, or business
  • Third-party claims arising from your use of translations

11.3 No Warranties

We provide services "as is" without warranties beyond professional translation quality and UK certification standards compliance. We do not warrant acceptance by any specific authority or fitness for any particular purpose beyond standard translation.

12. Cancellations and Refunds

12.1 Full Refunds

Full refunds are available if:

  • You cancel before work has started
  • Duplicate or accidental payment is made
  • We are unable to fulfil the service due to issues on our side

12.2 Partial Refunds

If work has started, full refunds cannot be issued as professional work is performed immediately. Partial refunds may be considered on a case-by-case basis, reflecting the completed portion of the project.

12.3 No Refunds

Refunds are not available:

  • After translation has been completed and delivered
  • For client-provided incorrect information or wrong service selection
  • For change of mind after work has commenced

12.4 Refund Processing

Refunds are processed within 5-7 working days via the original payment method. You will receive email confirmation when the refund is processed.

13. Intellectual Property

Upon full payment, you own the translation and have the right to use it for the intended purpose. However:

  • We retain the right to use the translation for quality assurance and internal records
  • You must not resell or redistribute the translation without our written permission
  • All website content, logos, and materials remain our intellectual property

14. Force Majeure

We are not liable for delays or failures in performance caused by circumstances beyond our reasonable control, including:

  • Acts of God, natural disasters, or extreme weather
  • War, terrorism, civil unrest, or government actions
  • Pandemics, health emergencies, or public health restrictions
  • Technical failures, cyber-attacks, or internet outages beyond our control

In such circumstances, we will make reasonable efforts to notify you and resume normal service as soon as possible.

15. Indemnification

You agree to indemnify and hold harmless Lingo Service, its employees, and contractors from any claims, damages, losses, or expenses (including legal fees) arising from:

  • False or inaccurate information you provided
  • Fraudulent, altered, or invalid source documents
  • Violation of third-party intellectual property rights
  • Misuse of translation services or translations

16. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.

By placing an order, you agree to submit to the jurisdiction of the English courts and waive any objection to venue in England and Wales.

17. Changes to Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated via:

  • Email notification to registered users
  • Notice on our website with updated "Last updated" date

Your continued use of our services after changes are posted constitutes acceptance of the updated Terms. If you do not agree to the changes, you should discontinue use of our services.

18. Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be replaced with a valid provision that most closely reflects the intent of the original.

19. Entire Agreement

These Terms, together with any quotation or order confirmation, constitute the entire agreement between you and Lingo Service regarding the services. They supersede all prior agreements, understandings, or communications, whether written or oral.
